We’re developing a process and template to help car dealerships create AI use policies—especially as tools like ChatGPT become more common on the showroom floor. We're seeing that employees are already using AI on their own phones—often without management knowing. They're using the free version that might be using dealership data to train models and collecting data in the apps that the dealership doesn't control.

Have you seen any problems (or successes) with AI use by staff? Are you using team accounts? Have you created any internal policies or training around AI? What concerns do you have—or what’s holding you back from doing more with AI?

We’d love to hear your stories, questions, and lessons learned as we refine our toolkit. If you're open to sharing, comment below or message me. Thanks

It would be a good idea to put together an AI usage policy for your dealership or auto group.

It would be good to think about who uses what tools for which purposes.

It would be good to train your staff on what kind of questions and data they can share with AI and which data they shouldn't.

AND I think it is prudent for every business to train their staff on prompt engineering.

Microsoft put together some useful tips on the subject (albeit brief) here:

✨ AI Highlights

A dealership owner seeks input on developing AI use policies after noticing employees using ChatGPT and similar tools without oversight, risking exposure of proprietary dealership data to AI training models. The discussion emphasizes the need for clear internal guidelines about what data employees can safely share with AI tools and recommends staff training on both responsible AI use and prompt engineering techniques. The key insight is that dealerships should establish formal policies now rather than wait, given widespread unsanctioned AI adoption already happening among staff.
